Once the Grant Agreement has been signed by EDCTP, the proposal formally becomes a project. From then on, Grantees are expected to formally and informally, periodically report their project EDCTP. Report due dates are calculated from the effective date of the Grant Agreement, which is the date of signature on the Grant Agreement by EDCTP.
Grantees are expected to submit all their formal project reports to the Project Officer in charge of the project.
The most important reports expected from projects are often stipulated in the Grant Agreement but include the categories stated below:
1. Intermediate reports
The grantee may be requested to provide intermediate reports at approximately a 6- month interval between the Grant Agreement payment milestones.
2. Protocols & ethical approvals
For grants involving a clinical trial, EDCTP expects to receive the clinical protocol version to be submitted to the ethical committees prior to Grant Agreement signature. All protocols must adhere to the ICH-GCP guidelines must contain a version number and date, and must be signed by the project coordinator and the sponsor. All related ethical approval letters from the Ethics Committees concerned must refer to the protocol version number, date and protocol title.
3. Third party cofunding
EDCTP also closely monitors third-party cofunding information and strongly encourages its grantees to declare any contributions received during the course of their project. This cofunding is treated as purely supplementary funding and is not in any way used to replace or reduce EDCTP funding agreed at the signing of the Grant Agreement.
4. Publications
EDCTP actively encourages its grantees to publish their results from ongoing and completed projects and requests copies of these publications as a form of monitoring. Grantees are reminded to ensure that they acknowledge the involvement of the cofunding Member States in any publications and communications (including presentations) about their projects.
